Facilities and Administrative (F&A) costs, also known as “indirect costs”

The Research, Innovation & Impact Business Center (RIIBC) Pre-Award team can assist you in determining the appropriate rate to apply to your project. The rates are based on your project activity type and location.

Please note, the University of Arizona will honor a reduced rate when it is stipulated (required) by the sponsor.  If this is the case for your project, please include any stipulations as an attachment or link in the Request for Proposal Assistance form. Sponsor stipulations must be a formal, published agency guideline, administrative regulation, included formal solicitation, program announcement or application documents.

Employee Related Expense (ERE)

Employee Related Expenses (ERE) are costs associated with the benefits given to University of Arizona employees based on their job classification and is also associated with both graduate and undergraduate student employees.  Employee Related Expenses (ERE) rates may change slightly each year on July 1 as they are renegotiated. Be sure to check in with your Research, Innovation & Impact Business Center (RIIBC) Pre-Award team member if you are unsure about what the current Employee Related Expense (ERE) rates are.

Cost Share Information and Requirements

Any expenses that will be incurred by a project which are not specifically budgeted for and covered by the funding source are considered cost-share. Please review the University of Arizona guidelines on best practices for when and how to include cost sharing in proposals.

If your project requires contributions from a source outside of the university, these contributions need to be documented as 3rd party contributions.  The Research, Innovation & Impact Business Center (RIIBC) Pre-Award team can help you in getting the required documentation from the out-side agency at the proposal stage. 

Award Notifications

Congratulations!  You have just been notified that one of your proposals will be funded.  Please be sure to contact the Research, Innovation & Impact Business Center (RIIBC) Pre-Award team to share any information or documentation that has been sent to you from your sponsor.  Often, the sponsor will require assistance in getting contracts setup and payments issued to the University of Arizona.  The Research, Innovation & Impact Business Center (RIIBC) Pre-Award team can connect them to the appropriate office and/or individual.
